Data Entry Specialist

The Data Entry Specialist will be responsible for entering, updating, and managing data related to the retail store’s inventory, products, customer orders, and e-commerce listings.
This role ensures the accuracy and consistency of all product and customer data across multiple platforms.

Key Responsibilities:
  • Data Management:
    • Enter and update product data such as descriptions, prices, specifications, and images for both the retail store and e-commerce platforms.
    • Ensure product information is accurate and consistent across in-store systems, e-commerce websites, and third-party online marketplaces.
    • Manage inventory data, ensuring accurate stock levels are reflected in both in-store and online systems.
    • Update and track changes in product pricing, promotions, and availability.
  • Inventory Control:
    • Monitor stock levels for both retail and online inventory, inputting and tracking any changes in quantities.
    • Assist in reconciling online and in-store inventory discrepancies, working closely with the retail and e-commerce teams to maintain accuracy.
    • Record product restocks, new arrivals, and discontinued items in the system to keep data current.
  • E-Commerce Product Listings:
    • Create and maintain detailed product listings on the e-commerce site, ensuring all information is clear, complete, and optimized for search engines.
    • Assist in updating product categories, keywords, and tags for better visibility and customer searchability on e-commerce platforms.
    • Upload product images and descriptions to the website and ensure that they meet e-commerce guidelines.
  • Order and Customer Data Entry:
    • Input customer orders from the website, ensuring that they are processed accurately and promptly in the system.
    • Update customer contact information, shipping details, and order status in the database.
    • Communicate with the fulfillment team to ensure timely shipment of orders and updates on order status.
  • Data Accuracy and Quality Control:
    • Perform regular checks to verify the accuracy of entered data and correct any errors or inconsistencies.
    • Work with other departments (e.g., retail, marketing, logistics) to ensure all data is aligned across systems.
    • Assist in identifying and resolving any issues related to data discrepancies, outdated information, or incorrect product listings.
  • Reporting and Analytics Support:
    • Assist in generating inventory and sales reports by collecting and entering relevant data.
    • Provide data support for e-commerce performance analysis, identifying trends and providing insights to help improve product offerings or sales strategies.
    • Prepare and maintain reports related to product listings, inventory levels, and sales data.
  • General Administrative Support:
    • Assist with other administrative tasks as needed, including filing, organizing, and maintaining records related to the store and online operations.
    • Support the e-commerce team with tasks like product launches, promotions, or seasonal changes.
Qualifications:
  • Education:
    • High school diploma or equivalent (required); an associate’s degree in Business Administration, Data Management, or a related field is preferred.
  • Experience:
    • Proven experience in data entry, inventory management, or administrative support, preferably within a retail or e-commerce environment.
    • Familiarity with retail operations is a plus.
    • Experience with e-commerce platforms is highly desirable.
  • Skills:
    • Strong attention to detail and high level of accuracy in data entry.
    • Ability to work efficiently and meet deadlines in a fast-paced environment.
    • Strong organizational skills and ability to multitask.
    • Proficient in using data entry software, spreadsheets (e.g., Google Suites, Square POS, etc), and inventory management tools.
    • Familiarity with e-commerce platforms and online order processing systems.
Physical Requirements:
  • Ability to sit for extended periods while entering data.
  • Ability to occasionally lift and move boxes or products, especially when organizing inventory.
Work Environment:

The Data Entry Specialist will work in an office or administrative area. This role may require working with multiple computer systems and managing data across different platforms (in-store and online). There may also be a need to interact with the warehouse or inventory team to ensure accurate stock tracking.

This position is vital for ensuring that both the physical retail store and the online store are operating smoothly, with up-to-date and accurate information that facilitates efficient sales, inventory management, and customer service. The Data Entry Specialist helps maintain a seamless connection between the in-store and e-commerce operations, making it an essential role in any of our retail locations with both physical and online retail channels.
